Frequently Asked Questions - Shuttle Bookings

Booking & Pricing

Prices are per shuttle, not per person. The price for the entire shuttle will be displayed under the calendar after you enter the number of people and date. 

Tax is not included and will be added to your order. Costa Rica’s VAT (Value Added Tax) is 13%. 

No, the price of gas and highway tolls are included in the shuttle price. You will not be asked to pay for those items.

Our website does not charge any extra booking fees.

Tips for the driver are optional (but appreciated). See the During Your Ride section below for more information.  

We recommend booking at least one week (or more) before your trip; however, we can usually accommodate bookings with at least three days’ notice. For Christmas and Easter travel, we recommend booking at least one month beforehand. There are a limited amount of vans and they do become unavailable. 

We do not book shuttles more than six months in advance because of changing travel situations, possible rate changes, etc.

Those dates are blocked off. We need at least three days’ notice to receive your order, make the arrangements with the shuttle operator, collect your payment, and then pay the shuttle operator.  

We accept all major credit cards (Visa, Mastercard, American Express, Discover), Apple Pay, Google Pay, and Cash App Pay. All payments go through our secure payment processor, Stripe. 

To secure your shuttle services, all orders must be paid in advance. You will receive a payment link once we confirm availability (typically in less than 24 hours). Reservations can be modified or cancelled; see the Changes & Cancellations section below. 

Pickup & Timing

Your shuttle driver will be waiting outside the airport exit doors, holding a sign with your name on it. The driver will use your flight information to know when to arrive and wait.

The drivers we use are almost always on time or a little early for pickups. If you cannot find your driver or they do not show up on time, please contact us right away. Your confirmation (received after payment) will have our email, phone number, and emergency WhatsApp number. It also will have the shuttle company’s contact details. 

Don’t worry! For airport pickups, the driver will be tracking your flight in real-time. If your flight is delayed, your driver will adjust the pickup time accordingly. There is no extra charge as long as the delay is reasonable and the driver hasn’t been dispatched yet. There’s no need to contact us unless your delay is more than 1 hour or your flight is cancelled.

Yes, we just need the exact house location. In Costa Rica, addresses are not very helpful (not many street signs or house numbers). A map is best. If that’s not possible, please give us as much detail as you can about the vacation home. The house name or a link to the booking page helps us a lot. We can always update the precise location closer to the date of service once you receive the check-in information. 

No, typically the driver will wait for you in the hotel reception. 

Vehicle & Comfort

Yes! All shuttle vans are air-conditioned for your comfort, especially with Costa Rica’s warm weather. The vehicles are also well-maintained, clean, and regularly inspected for safety.

Sometimes. Many of the vans have Wi-Fi available, but we don’t feel comfortable guaranteeing it. Mobile signals can be spotty between some destinations, and sometimes the Wi-Fi routers themselves don’t work as they should.

If you absolutely need to be connected during the ride, please make a note on your reservation and we’ll do our best to provide a solution. You might also want to read our Getting a SIM Card for Costa Rica post. 

Private shuttles are exclusively for your group – just you and your travel companions. The driver picks you up at your exact location and takes you directly to your destination without other passengers. Shared shuttles have multiple passengers and make several stops, which takes longer. Our shuttle article has more information about the differences. 

Almost all the shuttles listed on our booking page are private, except for the shared shuttle-boat-shuttle between La Fortuna and Monteverde.

We can accommodate anywhere from 1-16 passengers in most cases. The exact size of each van depends on the size of your group. Solo travelers, families, and smaller groups will fit comfortably in a van that holds around 6-9 people. Bigger groups will travel in larger vehicles/mini-buses. 

Some of the typical vehicles used are Hyundai H1 vans, Toyota Hiace or Hiace High Roof vans, Toyota Coaster vans, Mercedes Benz Sprinter vans, or Mercedes Benz Marcopolo Senior buses. The exact type used also depends on availability.  

Yes, car seats are available upon request at no additional charge. The shuttle operators can provide convertible-style car seats, boosters with a back, and boosters with no back. You will see the option to add these on your booking form. The exact brand of car seat varies depending on the operator.

Costa Rican law requires car seats for children 12 years old and under depending on the size and weight of the child. For details, see our post about Car Seats in Costa Rica

Yes. We only work with shuttle companies that are fully licensed by the Costa Rican government and carry comprehensive insurance coverage for passengers.

We size the van to account for 1 large suitcase (around 23kg/50lbs) and 1 medium carry-on bag per passenger, plus personal items like purses or backpacks. Surfboards, bikes, and oversized or extra luggage (such as multiple large suitcases per person) can usually be accommodated but we may have to charge an extra fee/arrange a larger vehicle. Just add a note to your order and we’ll evaluate the situation. 

Costa Rica has some curvy and bumpy roads but the drivers do their best to offer a smooth ride while maintaining a reasonable shuttle duration. If someone in your group is especially sensitive, please make a note on the order so that we can let the specific driver know. 

During Your Ride

All the shuttle drivers speak basic to conversational English. Many are quite fluent and will engage with you if you ask them questions about the local area, wildlife, culture, etc. All drivers are professional, licensed, and experienced with international travelers. They know the routes well and can communicate effectively about pickups, stops, and drop-offs. 

Yes, you can make quick stops to use the restroom or buy some snacks and drinks. For longer rides (over 2 hours), up to one hour of stops is included to have a quick meal, take pictures, go grocery shopping, etc. Stops need to be along the route from your pickup to drop-off location. The driver can help make a recommendation.

We can also help coordinate longer stops along the route to see an attraction. If you would like to make a longer stop, please let us know so that we can quote the additional hours of waiting time. Waiting time typically costs around $25-30/hour. The driver can hold your bags securely in the van while you enjoy the tour or attraction.

Yes, you can bring food and drinks (including alcohol) inside the van and enjoy them during the ride. Costa Rican law permits passengers to consume alcohol in private vehicles. However, we ask that you drink responsibly and avoid excessive consumption to ensure everyone’s comfort and safety.

No, smoking and vaping are not allowed inside the vehicle. You’re welcome to use the included stops to smoke or vape outside. The driver can help coordinate an appropriate place to stop.

The drivers do not expect anything; however, it is common to tip if you have received good service. People often tip drivers $10-30 or more, depending on the length and quality of the ride. 

Changes & Cancellations

Yes. Modifications are usually possible with at least one day’s notice. Additional charges may apply if you are changing the shuttle route. 

Cancellation policies vary by shuttle company. The specific policy will be on your order confirmation. Typically, you can cancel for a full refund minus a small fee per shuttle as long you give us at least 24 or 48 hours’ notice (depending on the company). The cancellation fee is usually $20 or a little more for higher-priced shuttles.
